In the Education sector, it’s critical to work with trusted partners when it comes to IT deployment. Schools often have to deal with ageing technology that affects not just costs, but student outcomes as well. As a Ricoh Service Agent, Queensland Computers has extensive experience in deploying PIaaS agreements within the Education sector.

Xavier Catholic College was struggling with an old printer network and was ready for a new solution.

THE CHALLENGE FOR XAVIER CATHOLIC COLLEGE

A Prep-to-12 school in Hervey Bay, Xavier Catholic College had a fleet of printers nearing the end of their PIaaS (Print Imaging as a Service) agreement. This meant that the printers were five years old and at the recommended upgrade point.

Due to age, these machines were requiring more maintenance – with users experiencing:

  • increased paper jams,
  • slower responses, and
  • increased toner usage.

Needing this upgrade in the middle of the COVID-19 pandemic meant that securing stock posed a significant challenge.

“Aligning with a specialist to guide us through our printer transition and receiving ongoing support from familiar faces were both very important to our team.”

– Karen Goffinet, Business Manager

QUEENSLAND COMPUTERS’ SOLUTION

Steve (our Lead Print Technician with over 30 years of experience) and Mark (our Lead Project Coordinator) took on this project. They started by visiting the school, working with the Xavier Catholic College staff to examine the existing print assets and undertake a detailed review of their print environment – including forecasting for future print requirements.

Queensland Computers then formulated a comprehensive and all-inclusive PIaaS offering that included:

  • New print and copy assets supplied under the arrangement – without the need for the college to purchase or lease any equipment or software.
  • Delivery and installation from our professional team.
  • Consumables, training and technical support on an ongoing basis.
  • Competitive education pricing, as a Ricoh Authorised Dealer.
  • Responsible disposal of the existing printer fleet (14 devices).

KEY OUTCOMES

Despite stock availability issues across the country (due to the COVID-19 pandemic), Queensland Computers worked with the Ricoh team to source equipment for Xavier Catholic College – minimising the impact of product shortages on their organisation.

Xavier Catholic College now receives all the benefits of:

  • A fully managed and up-to-date print fleet that suits the needs of both teachers and admin staff – consisting of:
    • 5x A4 mono printers,
    • 4x 45-page-per-minute devices, and
    • 2x 60-page-per-minute devices.
  • Automated meter reading and consumables ordering that saves staff time.
  • A centralised, simple ticketing system to easily communicate any issues with our team and have them resolved promptly.
  • An ongoing maintenance and service plan that has kept the assets running smoothly throughout their anticipated lifecycle.

Queensland Computers’ ongoing maintenance doesn’t just keep the machines running. Our constant exposure onsite gives us a deeper understanding of the Xavier Catholic Colleges’ evolving IT infrastructure – should they require support or guidance outside their print fleet.

“Although the process seemed daunting, Queensland Computers were highly professional in coordinating the removal of old devices and deployment of new ones (with minimal disruptions for our team).”
